CHESS holding statements and notifications

CHESS (Clearing House Electronic Subregister System) is the system that ASX uses to keep track of investors’ holdings and personal details. 

ASX produces a CHESS holding statement at the end of the month if there has been a change to a security they hold - one for each security (for example if the investor has bought or sold securities).

CHESS notifications are also generated shortly after investors inform their broker of changes to their details, such as name or address.

Investors may access their CHESS holding statements and notifications electronically via the ASX CHESS Statements Portal, or alternatively, receive these documents by mail.

Getting access to electronic CHESS holding statements and notifications

Follow the process below to understand how to opt in to access your CHESS holding statements and notifications electronically.

1. Investors (holders)

Investors (holders) with a HIN (new or existing) can only access electronic CHESS holding statements and notifications by authorising their broker (participant) to opt in on their behalf, by providing their email address and selecting a preference to receive electronic communications from ASX.

2. Broker (Participant)

The Broker must: 

  1. keep a record of the investor’s email address and preference to receive electronic communications from ASX
  2. send the investor’s email address and communication preference to CHESS.

3. CHESS

CHESS will: 

  1. record the investor’s email address and preference to receive electronic communications from ASX
  2.  send the following email notifications to the investor: 
    • Change of communication preference (for existing holders) 
    • ASX CHESS Statements Portal registration email (for new and existing holders) to create your login details
      Note: Existing holders will receive this email when their next CHESS holding statement or notification is available. 
  3. send a printed notification to the investor’s postal address, confirming the change includes a change of email address or communication preference.

4. Investor (holder)

The investor (holder) must register for access to the ASX CHESS Statements Portal, where they can obtain copies of current and historical CHESS holding statements and notifications.*

Once you’ve setup your ASX CHESS Statements Portal account, you can login to view your electronic CHESS holding statements and notifications. 

* Holders will continue to receive an email notification alert when CHESS holding statements or notifications are available for access through the ASX CHESS Statements Portal.
